Job Summary The Bilingual administrative assistant will support branch operations by serving as the first point of contact for applicants and employees, coordinating onboarding tasks, and maintaining accurate documentation. This role also assists with recruiting support, applicant flow, and daily office operations.
Pay $18 to $22 per hour
Shift 8 a.m. – 5 p.m.
Duties
Serve as the primary point of contact for walk-in traffic, greeting visitors, applicants, and employees
Assist applicants through the onboarding process, including application intake, paperwork completion, I-9 verification, and compliance documentation
Manage front-desk operations by answering phones, responding to inquiries, directing candidates, and supporting recruiters and branch leadership
Advertise job openings on job boards, social media platforms, and local outreach channels
Conduct prescreens and assist with scheduling interviews
Enter applicant information into internal systems and maintain accurate digital and physical files
Prepare and update daily, weekly, and monthly branch reports, including headcount, referral activity, onboarding numbers, and compliance summaries
Support referral campaigns by engaging with current associates, answering questions, and tracking referral submissions
Assist employees with assignment updates, payroll questions, and general support needs
Help maintain office organization by managing supplies, keeping paperwork systems updated, and supporting smooth branch operations
Learn internal procedures to ensure accurate onboarding, documentation, and compliance processes
Coordinate badge distribution, orientations, drug screens, background checks, and other onboarding-related tasks
Communicate with recruiters and the branch manager regarding candidate status, start dates, and office needs
Provide backup support for the recruiting team during high-volume periods, including calling candidates, confirming appointments, and assisting with onboarding classes
Qualifications
Bilingual in English and Spanish is preferred
Preferred experience in staffing, administrative support, customer service, HR, or a high-volume office environment, but not required
Strong communication skills with the ability to interact professionally with applicants, employees, and internal team members
Excellent organizational skills with the ability to manage multiple tasks, prioritize effectively, and maintain accuracy in a fast-paced environment
Proficient in basic computer applications, including Microsoft Office, email, and data entry systems
High attention to detail when handling documentation, onboarding forms, compliance items, and employee records
Ability to maintain confidentiality and follow company policies related to employee files, sensitive information, and compliance
Strong customer-service mindset and a friendly, welcoming demeanor
Reliable and punctual with the ability to maintain consistent attendance and handle high-traffic periods
Flexible and adaptable when faced with changing priorities or urgent recruiting needs
Ability to work well in a team environment and support staff members as needed
Willingness to learn internal procedures, onboarding processes, and compliance requirements
